Configuring Outlook 2003 for POP Article #822

This article pertains to Outlook 2003 installed on Windows XP and Vista. Due to variances in the operating systems, the look of the dialog boxes may differ, but the install process is the same. Windows Vista users may encounter additional dialog boxes that require confirmation of changes.

In this article we will be setting up Outlook 2003 to access "John Smith's" email account via POP. His email address is jsmith@ucdavis.edu and his UCD LoginID is jsmith.


  1. Launch Outlook 2003.
  2. If a wizard pops up when Outlook starts, click Cancel to close the window, otherwise select E-mail Accounts from the Tools menu.

  4. Make sure Add a new e-mail account is selected and click Next.

  6. For Server Type, select POP3 and click Next.

  8. The Internet E-mail Settings (POP3) window will appear.

    1. In the Your Name field, type your name as you would like it to appear to others when you send messages.
    2. For E-mail Address, type your email address as you would like it to appear to others when you send messages.
    3. For Incoming mail server (POP3), type mail.ucdavis.edu.
    4. For Outgoing mail server (SMTP), enter smtp.ucdavis.edu.
    5. For User Name, type in your UC Davis LoginID.
    6. For Password, you may type in your UC Davis password and check the box to remember if you would like this feature. Otherwise you must enter your password every time you want to check your mail.
  9. Click the More Settings... button.
  10. Select the Advanced tab.

  11. For Incoming Server (POP3), check the box to enable This server requires an encrypted connection (SSL). Make sure the port number is 995.
  12. For Outgoing server (SMTP), check the box to enable This server requires an encrypted connection (SSL).
  13. Change the Outgoing server (SMTP) port number to 587.
  14. Note: If you are unable to send mail with the SMTP port set to 587, you can try port 587 without checking the SSL box. If that still does not work, try setting the outgoing port back to 25. Some ISPs block port 25, however, and if you cannot send mail either way, you should contact your ISP to see if they will enable one of those ports for your account. Whenever you make a change, you should quit and restart Outlook for it to take effect.

    Also note that if you are using Outlook 2003 and have a version lower than 11.8000.xxx, you may need to visit theMicrosoft Office Update Downloads Home Page and update your instance of Outlook in order to be able to send mail through port 587 using SSL.

  15. If you wish, you can set Outlook to Leave a copy of messages on the server according to your preference.
  16. Select the Outgoing Server tab.

  17. Check the box for My outgoing server (SMTP) requires authentication.
  18. Make sure Use same settings as my incoming mail server is selected, and click OK.
  19. You should be back to the Internet E-mail Settings (IMAP) screen. Click Next.

  21. Click Finish. You are done with the setup.

  23. If you are prompted for your password, type it in. You may choose to use Outlook's Remember Password function if you like, otherwise you will be prompted for your password each time you start Outlook. Click OK.
